Our Audit Requirements
The following is a list of requirements and records that you will need to complete the appropriate reports
Printing Records
If your company uses a commercial printer, a copy of the original printing statement showing the net press run, along with financial records confirming payment, will be required. Additional verification may be provided through a sworn statement from the commercial printer. For companies that print in-house, a CVC auditor may need to review press runs, interview personnel, and examine press logs and paper usage bills to ensure accuracy.
Residential Home Delivery Totals
Summary sheets detailing draw totals by carrier or route are required for home delivery distribution claims. During the audit, CVC will request a sample of carrier names, addresses, and compensation information for verification purposes. Media companies must maintain area route lists or maps identifying households that receive the publication regularly. For paid distribution, a complete subscriber list, including payment details and expiration dates, must also be provided.
Mail Delivery totals
For mail distribution claims, copies of original USPS forms and financial records confirming payment are required. Additionally, a current mail list including the recipient's name, address, city, state, and zip code must be provided. If your company uses an independent postal system, please submit original statements and financial records showing payment. Further verification from the mailing house may be obtained through a sworn statement. For paid distribution, media companies must also supply a complete subscriber list with payment details and expiration dates.
Racks and Stores (Controlled Bulk) Information
Media companies should supply draw and return data (gross distribution allowed in certain circumstances) by delivery location in a route list format. Each route list must include the location name, address, zip code, and phone number. Current route lists will be required for on-site verification of controlled bulk delivery locations, which will be checked randomly during the audit period.
